First Ping is a service of Keens Properties, LLC, a Pennsylvania limited liability company ("First Ping," "we," "us"), 4607 Library Road, Suite 220, Bethel Park, PA 15102. We provide automated lead follow-up software for residential roofing companies ("Clients"). This Policy explains how we collect, use, and share information.
1. Our role
- Website visitors and Clients: when you visit our site, request an audit, contact us, or buy our service, we decide how your information is used.
- Homeowners who contact a Client: when you contact a roofing company that uses First Ping, that roofing company controls your information. We process it on the roofing company's behalf, under its instructions, to reply, ask follow-up questions, and schedule appointments.
2. Information we collect
From Clients and prospective Clients: business name, contact name, email, phone, website, service area, scheduling rules, and billing details. Card data is handled by our payment processor; we do not store full card numbers. To register text messaging with mobile carriers, we also collect the Client's legal business name, EIN, business address, and contact details.
From homeowners, through Client channels: name, phone number, email, property address or ZIP code, details about the roofing issue, appointment preferences, text-message consent records (time, source, and wording shown), and message content.
Automatically on our website: standard server and security logs (IP address, browser type, pages requested, timestamps). We do not set analytics or advertising cookies, and we do not use third-party advertising or analytics pixels on this site. If that changes, we will update this Policy before enabling them.
3. How we use information
- To provide the service: replying to inquiries, asking qualifying questions, booking appointments, sending confirmations and reminders, and sending summaries to the Client.
- To process payments, prevent fraud, and secure our systems.
- To send service and account messages to Clients, and limited business marketing about First Ping to business contacts, who may opt out at any time.
- To register messaging programs with carriers and keep consent and opt-out records.
- To comply with law and enforce our agreements.
We do not sell leads. A homeowner's inquiry to a Client is never shared with other roofing companies or lead marketplaces.
3A. Text messaging (SMS) privacy
Text messages are sent on behalf of the roofing company the homeowner contacted, from a number registered to that roofing company. We collect a mobile number and consent only to send the messages the person asked for, such as replies about a roofing inquiry, appointment scheduling, confirmations, and reminders.
We do not share, sell, rent, or provide mobile phone numbers, text-message opt-in data, or consent records to third parties or affiliates for their marketing or promotional purposes. Mobile information may be shared only with service providers that help us deliver messages (such as our messaging carrier/platform), and only to provide the service.

4. AI and automated processing
We use automated systems, including AI language models provided by vendors under contract, to draft and send replies and to help schedule appointments. Messages identify the roofing company and state that they are from an automated assistant. Automated replies can be wrong; a person from the roofing company is available on request. We do not use homeowner information to train third-party AI models for those vendors' own purposes, where our vendor terms allow us to opt out.
5. Service providers
We use vendors for hosting, text messaging, email, calendars, payments, and AI processing, only as needed to operate First Ping, under agreements that limit their use of the data. A current list is available by emailing hello@tryfirstping.com.
6. Retention and security
We keep information only as long as needed to provide the service, keep consent and opt-out records, resolve disputes, and meet legal obligations, then delete or de-identify it. Opt-out records are kept so we continue to honor them. We use reasonable administrative, technical, and physical safeguards; no system is perfectly secure.
7. Your choices and rights
Email hello@tryfirstping.com to request access to, correction of, or deletion of personal information we hold, or to opt out of business marketing emails. Homeowners may also contact the roofing company they reached. We may need to verify your request, and some records (such as opt-out records) must be kept. If a state privacy law gives you additional rights, we will honor them as that law requires, and we will not discriminate against you for using them.
8. Children
Our site and service are not directed to children under 13, and we do not knowingly collect their personal information.
9. Changes
We may update this Policy. The "Last updated" date will change, and material changes will be posted here and, for Clients, sent by email.
